Tour Price
All prices shown on our website are per person, based on double room occupancy. A single supplement applies for sole occupancy of a room. The price of your tour is fully guaranteed from the moment of booking and will not be subject to surcharges.
What Is Included
Each tour page specifies what is and is not included in the price. In general, our tour prices include:
- Superior 4★ or 5★ hotel accommodation as specified
- Meals as listed in the itinerary
- Wine with dinners where specified
- Private coach transport throughout
- Full-time specialist tour guide
- Garden and venue entrance fees as listed
- Transfers and additional transportation as specified
- Porterage, gratuities to local guides, taxes, and service charges
Our tours do not include international flights (except where stated on the tour page), excess baggage charges, personal expenses such as laundry or room service, meals not listed in the itinerary, or gratuities to the tour guide and driver.
Payment
You may pay for your tour in full at the time of booking, or reserve your place with a deposit and settle the balance before departure.
Deposit bookings
A fixed non-refundable deposit of US$1,000 per booking is payable immediately to reserve your place. The remaining balance is due no later than 60 days before departure. Once the tour is confirmed as guaranteed, we will send your final invoice. Payment is due within 14 days of the invoice date unless a later due date is stated on the invoice.
If you are unable to pay the final balance within 14 days of the invoice date, please contact us as soon as possible. In the event of overdue payment, we reserve the right to terminate the booking with immediate effect, in which case cancellation conditions will apply.
Full payment bookings
If you pay in full at the time of booking, US$1,000 of the amount paid is treated as the non-refundable deposit.
Bookings within 60 days of departure
If you book within 60 days of the departure date, the full tour price is payable immediately.
Booking Confirmation
Once we have received your payment, we will send you a booking confirmation by email. This confirms that you have entered into a binding contract with GardenTours.com BV and that these Booking Conditions apply in full.
Group Size
Our tours typically operate with 15 to 20 guests, unless stated otherwise on the tour page. Some tours may operate with fewer participants. If a tour cannot proceed due to insufficient bookings, we will notify you no later than 28 days before departure and refund all payments made.
Special Requests
Dietary requirements and other preferences noted at the time of booking are passed on to the relevant accommodation and transport providers. We will make every effort to accommodate your requests but cannot guarantee that all preferences will be met.
Cancellations & Refunds
If you cancel
To cancel your booking, you must send written notice to the email address shown on your booking confirmation. The cancellation date is the date we receive your written notification. The following charges apply:
- More than 120 days before departure — loss of the US$1,000 deposit
- 119 to 60 days before departure — 50% of the total tour price (the deposit forms part of this charge)
- Less than 60 days before departure — 100% of the total tour price; no refund
- After the tour has commenced — no refund for any unused portion
The US$1,000 deposit is non-refundable in all circumstances. We strongly recommend taking out travel insurance with cancellation cover at the time of booking.
If we cancel
If we cancel your tour more than 60 days before departure, we will refund all payments made in full. If cancellation is required less than 60 days before departure due to force majeure — such as war, natural disaster, or civil disturbance — we will work with you to reschedule or transfer your booking, or issue a partial refund at our discretion. If a tour does not reach the required minimum number of participants, we reserve the right to cancel and will refund all money paid.
Changes to your booking
If you are unable to travel, you may transfer your place to another person, provided the request is made no later than 7 days before departure and in sufficient time for any required formalities to be completed. This does not apply to any air travel booked directly with us.
If you booked a double or twin room with another traveller and one person cancels, the remaining traveller will be liable to pay the single supplement as shown on the tour page.
If we change your tour
We reserve the right to make necessary changes to the accommodation, itinerary, or programme before or during the tour in response to unforeseen circumstances.
Travel Requirements
Air travel
Our tours do not include international flights unless explicitly stated on the tour page. Please do not book flights or other non-refundable travel arrangements until you have received written confirmation from us that your tour is guaranteed to depart.
Passports and visas
You are responsible for holding a valid passport and any visas required for each country visited. Most destinations require a passport valid for at least six months beyond the tour's return date. Visa requirements vary by nationality — please check with the relevant consulates before booking.
Travel insurance
We require all guests to hold comprehensive travel insurance before joining a tour. Your policy should cover medical treatment, repatriation, loss of property, and cancellation charges. We will ask you to provide details of your policy before departure.
We do not accept credit card travel insurance as a substitute for a dedicated travel insurance policy. We do not offer travel insurance ourselves.
Health and eligibility
Our tours involve walking, standing, and time outdoors in varied weather. By completing your booking, you confirm that you are fit to participate. GardenTours.com reserves the right to ask a guest to withdraw from a tour if their continued participation would significantly impede the safe operation of the tour or the experience of other guests. In such circumstances, no claim may be made against GardenTours.com, its agents, or employees.
Complaints
If you have a complaint during your tour, please raise it with your tour guide immediately so that we can attempt to resolve it on the spot. If your complaint is not resolved to your satisfaction, please submit it to us in writing within 14 days of your return.
Liability
As tour operator, we accept responsibility for all aspects of the tour except those affected by force majeure. Our liability is further limited where international conventions apply in respect of air, sea, or rail carriers, including the Warsaw Convention and its successors.
Your Financial Protection
GardenTours.com BV is a Dutch-registered tour operator operating under Dutch package travel regulations. Your payments are protected by two independent guarantee schemes, each providing distinct cover:
SGR — Stichting Garantiefonds Reisgelden
GardenTours.com BV is registered with SGR under number 2284. SGR is an independent Dutch guarantee fund that protects consumers if a tour operator becomes unable to meet its financial obligations — including covering the cost of repatriation where necessary. This means that if GardenTours.com BV were to become insolvent, your payments are protected. Further information: www.sgr.nl.
Calamiteitenfonds Reizen
GardenTours.com BV is a member of the Stichting Calamiteitenfonds Reizen. This fund provides cover in the event of a major calamity — defined as an abnormal event caused by civil disturbance or natural disaster — that prevents a tour from departing or requires early repatriation. In such circumstances, you may be entitled to a refund of part or all of your tour cost, or reimbursement of additional costs incurred. Further information: www.calamiteitenfonds.nl.
Tour Operator
Unless stated otherwise, all tours advertised and booked through GardenTours.com are operated by Garden Tours BV, a company registered in the Netherlands. Further information is available at www.gardentours.nl (in Dutch).
