Thank you for booking a place on one of our garden tours. This page explains what normally happens between making your booking and travelling with us.
Many guests book a long time before departure, so there may be periods when there is no urgent action required. We will contact you directly whenever we need something from you or when there is an important update about your tour.
Please Do Not Book Flights Yet
Please do not book your flights until you receive an email from GardenTours.com confirming that your tour is guaranteed to depart.
We know that many travellers like to arrange flights early, but we strongly recommend waiting until the guaranteed-departure confirmation has been sent. Once the tour is confirmed as guaranteed, we will let you know clearly by email.
Please do not book flights or non-refundable travel arrangements until you have received written confirmation from us that your tour is guaranteed to depart.
Keeping in Touch Before the Tour
The time between booking and departure can sometimes be quite long. We will contact you directly with important updates about your own tour, but there may not always be something new to report every week.
We aim to send a GardenTours.com newsletter at least once a month, with tour news, garden travel ideas and useful updates. We recommend signing up so that we can keep in touch with you between booking and departure.
Guaranteed Departure and Final Balance
Once we confirm that your tour is guaranteed to depart, we will send you an email confirming this.
At that stage, we will also contact you about the remaining balance of your tour. We normally ask that the balance is paid within 14 days of the invoice or payment request date.
Depending on the payment options available for your tour, you may be able to pay the remaining balance by card or by bank transfer. If a bank-transfer option is available, any relevant instructions will be included in the email we send you.
Passenger Information
After your booking has been made, we may ask you to provide additional passenger information before the tour departs.
This may include dietary requirements, rooming information, emergency contact details, arrival information or other practical details needed to operate the tour smoothly.
Where possible, we will provide a secure online form for this information.
Travel Insurance
We strongly recommend that all travellers arrange suitable travel insurance for the full duration of their trip.
Your insurance should cover cancellation, medical costs, travel disruption and any other risks relevant to your journey. We do not sell travel insurance ourselves, but you may wish to search online or speak with an insurance broker to find suitable cover.
We may ask you to provide details of your travel insurance before departure.
Data and Privacy
Any additional passenger information you provide is treated as confidential and used only for the purposes of arranging and operating your tour.
Where information is collected through our website, it is stored securely. Personal tour-operation data is deleted after the end of the tour when it is no longer required, unless we are legally required to keep it for longer.
Final Tour Information
Before departure, we will send final joining information for your tour. This will normally include the latest itinerary details, arrival guidance, hotel information and any practical notes that will help you prepare.
We aim to send this information in good time before departure. The exact timing can vary depending on the tour and on final confirmations from hotels, gardens, transport providers and other suppliers.
